Before a Pre-Recording Session
How do I know if I need to pre-record my sessions?
During your initial meeting with Social27, a CSM or Production Manager will ask if any sessions within the Bill of Materials (BOM) will be pre-recorded content. If you need content pre-recorded, the Production Manager will connect you with the Pre-Recording Manager, and a short meeting will be set up to review how Pre-Recordings are conducted.
How will presenters/ speakers get information about pre-recording their session?
The Pre-Recording Manager will share a link to our scheduling application (Calendly). Within Calendly, you or your presenters/speakers can select a time and date for the recording. Once the Calendly appointment is made, the recording technician will send both you and the presenter/speaker a confirmation email that includes the following items:
- A Zoom link
- The time and date of the recording
- Additional instructions for the presenter/speaker
Do I need to schedule time with the presenter/speaker for the recording?
Either you or the presenter/ speaker can use the Calendly link to schedule a time for the recording session.
Social27 recommends the client schedule these recordings to keep track of when presenters/ speakers will be recording their content.
What does the presenter/speaker need for pre-recording?
The following items should be prepared by the presenter/speaker for the pre-recording session:
- Finalized slide decks / content that supports or aids in the presentation
- A strong internet connection to ensure so video and audio remain consistent and don’t lag/drop
- A smaller recording space, such as an office or bedroom, to prevent audio interference
- Natural lighting is preferred
- A headset with a microphone is preferred
The Social27 recording technician will run through audio and video tests to ensure a clean recording.
During a Pre-Recording Session
What happens during a pre-recording session?
Before the recording begins, the Social27 technician will check the presenter/speaker’s audio, video, lighting, and additional materials.
The presenter/speaker should turn on their video prior to beginning the recording.
Once the speaker/presenter should give their presentation and share all materials they have prepared for the event, including slide decks, videos, etc. that aid in the overall content of the session.
Because their content is being recorded ahead of time, if a presenter/speaker makes a mistake during the recording, they are able to start again. The recording technician will be making editing notes and will remove any mistakes in post-production.
How long is a pre-recording session?
The duration of the pre-recording session depends on the length of the presenter/speaker's session as outlined within the Bill of Materials (BOM). If a presenter/ speaker is slated to talk for 45 minutes, Social27 recommends doubling the length of the pre-recording session. This extra time allows the recording technician to prep the presenter/speaker, check audio and video levels, test additional presentation materials, and make edits after the recording.
Who can be in the call for a pre-recorded session?
Social27 recommends having a moderator or a company representative in the pre-recording call for the first 15 minutes to answer any questions the presenter/speaker may have. Additional moderators/participants for the recording are welcome. The recording technician will prep everyone before the recording starts to ensure the final product is clean.
After a Pre-Recording Session
Do I need to check the recording after for quality control?
Yes. Clients must review the recorded content for quality control. While there will be a technician on the call monitoring lighting and audio levels, it is up to the client to review all recorded content.
How quickly will I get the recording back to review it?
Depending on the number of initial edits that are needed, you should receive the recording via a Dropbox link emailed to you within 24-48 hours.
**Please note that this time frame may change depending on the number of pre-recordings taking place for your event.**
How will I receive the recording once initial edits are complete?
Once the recording technician has completed initial editing, they will upload the recording to Dropbox and email both you and the presenter/speaker a link to view the recording.
Who should I contact if edits are needed on a recording?
If additional edits are required, please contact the technician who conducted the recording or the Pre-Record Manager.
Social27 asks that all additional edits be requested 7 days before the beginning of the event to ensure quality control of the content.
What if a presenter/speaker needs to reschedule a recording session?
If a presenter/ speaker needs to reschedule a recording session, they can request a new time via the Calendly link that was sent to schedule the initial recording session.
